A Vendor is anyone you buy from: the grocery wholesaler, the vegetable supplier, the ice-cream cart, the decorator, the LPG agency. Setting vendors up lets Neviscater group raw-material lists by supplier, create purchase orders, book services, and track what you owe each vendor.
Vendor features are part of the Vendor Management plan feature — a plan badge is shown in the sidebar where it applies.
Service Types
Application Setup → Vendor Service Types is the list of kinds of service a vendor can offer — Grocery Supply, Live Counter, Decoration, Transport. Create these first: every entry on a vendor's rate card must have a service type.
- Click Add New Service Type, enter the Service Type, Save.
Add a vendor
- Application Setup → Vendors → Create New Vendor.
- Enter Vendor Name (firm), Contact Person, Contact Number-1 / -2, Email, Location, Address, Description.
- Save.
The vendor's Details view has tabs: Contact, Services (rate card), Finances (Total Bills, Total Payments, Outstanding), Bills History and Payments History. Use Previous / Next vendor to move through the list.
An envelope icon shows whether the vendor's email is verified — needed for emailing purchase orders and booking notifications.
The rate card (services offered)
On the vendor → Services tab, click Add service for each thing the vendor supplies:
- Service — the service type
- Rate and Unit — e.g. ₹85 / kg, ₹12,000 / event
- Details — free text (brand, delivery terms)
The rate card is what pre-fills prices when you book a service, add a menu item bought from this vendor, or create a purchase order (Prefilled from the vendor's rate card — adjust for a negotiated price). A service cannot be deleted while it is used on any order; the tooltip lists where.
Linking vendors to what you buy
| Where | Field | Effect |
|---|---|---|
| Material (Materials Table) | Preferred Vendor | Raw-material lists group by this vendor; POs go to them |
| Item (Items Table → Sourcing & Vendor) | Preferred Vendor + Bought ready made / as a service | Menu procurement lists the item under the vendor |
| Menu item (Menu Item Properties) | Vendor | Overrides the item's default for that event |
| Misc expense / external service on an order or event | Vendor | Creates a vendor charge on that order |
See Raw Materials Consumption → Procurement scope and vendors and Services and Misc Expenses.
Vendor finances
Every charge to a vendor is linked to an order, so you can see both views:
- Per order — the order's Actions → Order Specific Vendors Finances: bills, payments and outstanding for each vendor on that order. See Vendor Finances on Orders.
- Per vendor — vendor → Finances / Bills History / Payments History: everything across all orders.
- Core → Vendor Outstandings — every vendor with an unpaid balance.
Common questions
I can't delete a vendor. It has bills, payments, purchase orders or services in use. Vendors are rarely deleted; just stop assigning them.
Which vendor gets a material on the shopping list? The material's Preferred Vendor. Materials without one appear without a vendor and are skipped when creating POs.
