Instead of printing and forwarding PDFs, send them straight from the order. Email Reports attaches the chosen reports as PDFs and emails them to the people you tick. Emails go out in the background, so you can keep working.
Open it
Order → Actions → Email Reports, or sidebar Order Actions → Email Reports (select the order). A drawer opens from the right.
Choose reports and recipients
The drawer is a grid: one row per report, one column per recipient type.
| Report | What is attached |
|---|---|
| Order Menus | Menus of all events of the order |
| Item Quantities | Item quantities per event (kitchen sheet) |
| Bill Details | The customer bill |
| Payment Details | Payments received and outstanding |
Recipient columns:
- Self — your account email.
- Customer — the Email on the order's customer details (shown at the top; — means none is recorded — add it on the order first).
- Staff — tick individual staff members; only active staff with an email on file are listed (Staff Management must be enabled and the staff member needs an email).
-
Other — type one or more addresses separated by commas (
someone@example.com, other@example.com). "Other" addresses aren't tracked in notification history.
Tick the combinations you want — e.g. Bill Details → Customer and Item Quantities → Staff: Head Cook — then click Send. A confirmation per report shows queued to N recipient(s). A report with nothing to send (e.g. No payment details to email) is skipped with a message.
The PDFs use your printing preferences and templates; see Printing and PDF Templates.
Download instead of emailing
- The download icon beside a report name downloads that PDF.
- Download all reports (top of the drawer) gives a ZIP with all four PDFs for the order — handy for WhatsApp or a shared drive.
Sent history
Coloured dots next to Self and Customer show that a report has already been sent to that recipient; hover for the time. The history comes from the notification log, which records every email sent for the order (except Other addresses).
Other emails Neviscater sends
These are separate from Email Reports but work the same way under the hood:
- Vendor invoices / booking notices — from the Vendors Finances screen; see Vendor Finances on Orders.
- Purchase orders — Send on a PO emails the vendor; see Purchase Orders.
- Feedback link — Order → Feedback → send the customer a link to rate the function.
All of them need the recipient's email on file: customer email on the order, vendor email on the vendor, staff email on the staff member.
Common questions
The Customer column is disabled. No email on the order. Edit the order's customer details and add one.
Staff column says "No active staff with an email on file". Add emails to staff under Core → Staff Management, or enable Staff Management in Preferences.
The customer says nothing arrived. Check the sent-history dot (was it actually sent?), then their spam folder. Emails come from Neviscater's address with your company name; ask them to whitelist it.
