The order screens show one order at a time. Kitchen Plan shows what one kitchen has to cook and buy for a window of days, across every order — the dishes, the raw materials with stock counted once, and the vendor-wise buying list — with printing and purchase orders from the same page. It is part of the Premium plan.
Sidebar → Kitchen Plan (under the order actions). A Kitchen Plan card on the dashboard shows the next 7 days — N events across N orders, Dishes to prepare, Materials to buy, Next up — and opens the plan for that window.
Pick the window and the events
- Set From and To (default: today plus 6 days) and click Apply.
- Every event in the window is listed by day with a tick box, its time, a status chip, and order · customer · guests. Orders in every status except Cancelled and Archived are shown; Booked and Locked orders are ticked by default — enquiries are there to tick if you want to plan for them.
- Tick and untick events, per day with all / none or for the whole window with All / None. The tabs refresh as you go.
No events between … Widen the window above. means nothing falls in the window.
The three tabs
Menu Items
N dishes · N events. The same dish across several events is one line with the total Quantity and the number of Events, grouped under sub-menu headings. Click a line for the per-event split (date, event, customer, guests, quantity). Flags: bought in (not cooked here) and recipe differs (an event overrides a material in that recipe — such lines are kept separate rather than merged).
Raw Materials
N materials · N events. Material, Type, Need (the recipe total across the ticked events), Stock, To Procure, Rate, Cost and Events, with a per-event split on click. Filter by material type with the All material types dropdown → Apply. The footer gives Cost of need and Cost to procure.
Stock is counted once against the combined need, so several orders never claim the same shelf stock. Per-order Quantity to Procure overrides are deliberately not applied here, because a plan spans several orders; per-event recipe overrides are respected (override flag).
The Stock column appears only when Track Inventory is on (see Materials and Inventory); Rate and Cost only when Print rates and costs is on in the print dialog.
Vendors
Shown when Enable Vendors Management is on. One block per vendor (materials without a vendor are listed under self) with No., Material, Type and Quantity to buy, and per block Create PO and Download (a PDF of that vendor's list).
- Include available stock (on by default when inventory tracking is on) subtracts stock from what to buy. It affects this tab, its PDFs and the purchase orders — the Raw Materials tab always shows stock.
- Scope based procurement splits buying into blocks. Procurement Scope Settings (the pencil) sets Buy per Plan / Day / Event for each Material Type — vegetables per day, groceries once for the whole plan — and Save selections as defaults keeps the choice. Stock is claimed once, by the earliest purchase: the whole-plan block first, then days, then events.
Create purchase orders
Create Purchase Orders on the Vendors tab (or Create PO on one block) drafts one purchase order per vendor per scope block — Create one draft purchase order per vendor per scope for everything shown? Materials with no vendor are skipped. Lines with nothing to buy are skipped too. Materials with a pack size are rounded up to whole packs. A block already covered shows its PO number with a status dot, and + creates another one for that vendor and scope.
The purchase orders are not linked to any single order (they cover several); the PO's notes say Kitchen Plan "name" window · block, and a PO drafted while a saved plan is open is linked to that plan. Review and send them under Application Setup → Purchase Orders — see Purchase Orders. Purchase orders need the Purchase Orders plan feature.
Saved plans
The Plans dropdown (bookmark icon) keeps named windows: Save as new plan… → Plan name (e.g. Diwali week, Hall A) → Save. A plan stores only the window and the ticked events; quantities are always recomputed when the plan is opened, so a plan saved on Monday shows Thursday's menus on Thursday. With a plan open you can Update "name" with current ticks, Delete "name" (Purchase orders drafted from it are kept) or Close plan. Plans belong to the organisation — anyone in it can open or change them.
When the data has moved on since the plan was saved, the page says Changed since saved. and lists what — No longer in this window: … and N committed events in this window are not in the plan (committed = Booked or Locked). Update the plan to keep the changes, or ignore the notice.
Print opens Print Kitchen Plan with three reports:
- Menu items — the cooking list; Show the per-event split under each dish is on by default.
- Raw materials list — with Print rates and costs (remembered as your preference).
- Item-wise raw materials — Grouping: Combined batch (one block per dish for the whole window; only dishes cooked in-house) or One block per event; Layout: Detailed Table or Kitchen Sheet (see Raw Materials Consumption → Kitchen Sheet layout).
Print checkboxes for easy tailoring adds a tick box per line. The PDFs are titled Kitchen Plan · Menu Items, Kitchen Plan · Raw Materials and Kitchen Plan · Item-wise Raw Materials, and follow your Report Style.
Common questions
A dish shows twice. It is cooked in-house for one event and bought in for another, or one event overrides its recipe; such lines are not merged.
To Procure is lower than Need. Stock has been subtracted — once, across all ticked events. Untick Include available stock on the Vendors tab to buy the full need.
The sidebar shows a Premium badge and the page asks me to upgrade. Kitchen Plan is a Premium feature; it is available during the free trial. See Plans and Subscription.
Can I save the quantities as they are today? No — a saved plan is the window and the events; the quantities follow the live menus. Print the plan to keep a snapshot.
