Roles and Permissions

Last updated

A Role is a named set of permissions. Every sub-user is given one role, and that role decides which screens and buttons they get. Roles are created under Core → Roles (inside the Staff Management group; see Staff and Users).

Built-in roles

  • Admin — every permission. Assign it to a trusted manager. Admins can do everything a sub-user can ever do, but owner-only functions (Restore Points, database export/import/clear, plan changes, creating roles and users) remain with the main account owner.
  • The main account owner is not a role; it is the registered account and is always unrestricted.

Create a role

  1. Core → Roles → Add New Role.
  2. Role Name (e.g. Kitchen Manager, Accounts, Sales).
  3. Tick the Permissions (list below) → Save.
  4. Assign it when creating or editing a user (Core → Users → Edit User → Role).

Edit Role changes take effect the next time the user loads a page; you do not need to recreate users.

The permissions

Permission Unlocks
View Orders See the Orders list and order details. Required by everything else.
Create Orders Add Order, Duplicate Order
Edit Orders Edit order details, Change order status, Lock / Execute / Undo execution, feedback
Delete Orders Delete orders
View Events See events and their panels (raw materials, costing…)
Create Events / Edit Events / Delete Events Add, change or remove events, expenses and services on them
View Menus See event menus and item quantities
Create Menus / Edit Menus / Delete Menus Build and change menus, import catalogs, set quantities
Manage Finances Record customer payments, vendor payments, see Payments Received and outstanding reports
Generate Invoices Print / generate customer bills and invoices, email bill & payment reports
Manage Inventory Record purchases and adjustments, Material / Item / Disposable Actuals, Wastage Report
Generate Reports Wastage analytics, email reports, dashboard financial widgets
Manage Staff Staff Management (add/edit staff members)
Manage Vendors Vendors, service types, rate cards, purchase orders

Master data (items, materials, recipes, units, types, settings) is available to all sub-users; restrict it by not giving people who only take bookings a login at all.

Permission dependencies

Some permissions need others to make sense, and Neviscater ticks the prerequisites for you:

  • Anything on orders needs View Orders.
  • Anything on events needs View Events (and so View Orders).
  • Anything on menus needs View Menus → View Events → View Orders.
  • Manage Inventory, Manage Finances, Generate Invoices and Generate Reports each need View Events and View Orders.

Unticking a prerequisite also removes the permissions that depend on it.

Suggested roles

Role Permissions
Sales / Front desk View + Create + Edit Orders, View + Create + Edit Events, View + Create + Edit Menus, Generate Invoices
Kitchen manager View Orders, View Events, View + Edit Menus, Manage Inventory
Accounts View Orders, View Events, Manage Finances, Generate Invoices, Generate Reports
Purchase View Orders, View Events, View Menus, Manage Inventory, Manage Vendors
Viewer View Orders, View Events, View Menus

Common questions

A user says a button is missing. Their role lacks the permission — e.g. no Execute Order without Edit Orders, no Add New Payment without Manage Finances. Edit the role.

Can I give someone access to settings only? Settings are not permission-controlled; every sub-user can open Preferences. Keep the number of logins small.

Why can't an Admin see Restore Points? Owner-only; log in with the main account.
