Customer Bills and Payments

Last updated

Each order has one Customer Bill that Neviscater builds automatically from the order's events and expenses, and a list of Payments you record as the customer pays. The difference is the Outstanding balance.

How the bill is built

Open the order → Actions → Customer Bill Details (or sidebar Order Actions → Customer Bill Details). The bill has one line per event plus expense lines:

Line Quantity Rate Amount
Each event Guests Quoted Rate per plate if you set one; otherwise the Calculated Rate guests × rate
Event expenses not adjusted in the per-plate rate – – the expense amount
Order-level Misc Expenses and services – rate / unit amount

Then:

  1. Order Bill Total — sum of the lines.
  2. Discount — from the order's Discount Type (Value or Percentage) and Discount Value. Gives the Discounted Total.
  3. Taxes — each tax under Preferences → Manage Taxes with Include In Invoice ticked is applied to the discounted total (e.g. GST 5 %).
  4. Grand Total — rounded to the nearest whole currency unit.

Below the totals: Payments Done and Outstanding.

A line marked No rates quoted — calculated rates used means the event has no Quoted Rate, so the bill is using your cost. Set the quoted rate on the event to bill at your selling price. See Events and Menus → Costing and the quoted rate.

Discounts

Set on the order itself (Orders → Manage → Order Details): Discount Type Value deducts a fixed amount; Percentage deducts that percentage of the bill total. Discount is applied before taxes.

Taxes and business details

Application Setup → Preferences:

  • Manage Taxes — Add Tax with Tax Name and rate; tick Include In Invoice for the ones that should appear on the bill.
  • GST No., FSSAI License No., Bank Name / account details, UPI ID, QR Code — available to print on the bill.

Print the bill

On the bill screen click Print. Invoice Printing Options let you tick Print GST number, Print FSSAI License Number, Print bank details, Print UPI ID, Print QR Code; Save for future printing remembers the choices. The layout comes from Application Setup → PDF Templates.

Order Actions → Print Bill Details does the same from the sidebar, and Email Reports can send the bill to the customer.

Generate a numbered invoice

Printing the bill is informal. When you need a formal tax invoice with a sequential number:

  1. On the bill screen open the Invoice menu → Generate Invoice. Neviscater assigns the next invoice number and saves a PDF snapshot of the bill as it stands.
  2. Use Download to get the PDF again later.
  3. If the bill changes after issuing, Cancel the invoice (from the same menu) and generate a new one; cancelled numbers stay on record.

Record a payment

Open the order → Actions → Customer Payment Details (or Order Actions → Customer Payment Details).

  1. Click Add New Payment.
  2. Enter Payment Date, Payment Amount, Mode of Payment (Cash, UPI, Cheque, Bank Transfer, Card, Other), Reference No (UTR / cheque / transaction number), Received By (a staff member, for settlement tracking) and Payment Details (notes).
  3. Save.

The table shows Total Bill, Total Payments and Outstanding. Each payment has Receipt (print a receipt PDF), Edit Payment and Delete. Order Actions → Print Payment Details prints the whole payment history.

Advance payments are recorded the same way — just record them before the function; the outstanding balance updates as the bill grows.

Outstanding balances

Core → Customer Outstandings lists every order with an unpaid balance: customer, order date, Total Bill, payments and Outstanding Balance. Filter by customer or date; click a row to open that order's payments screen.

Payments received (collections)

Core → Payments Received is the cash-book view across all orders:

  • Filter by Quick Range / Custom Range (From–To), Customer, Mode, Staff (Received By), or Search.
  • Totals: No. of Payments, Gross Totals, Average Payment.
  • Day-wise Collections and Mode-wise Collections breakdowns, and Received By (Settlement) to see which staff member holds what.
  • Export to a spreadsheet.

Order financial summary

Order → Actions → Order's Financial Summary shows income (the bill) against all costs — raw materials, vendor bills, services and misc expenses — to give the margin on the order.

Common questions

The bill total does not match my quote. Check each event's Quoted Rate and Guests, the order's discount, and whether an expense is marked adjusted in the calculated rate (folded into the plate rate) or not (separate line).

Tax is not appearing. Tick Include In Invoice for the tax under Preferences → Manage Taxes.

A payment was recorded on the wrong order. Delete it from that order's payments and add it to the correct one; the outstanding balances update immediately.

Can I edit the bill lines directly? No — the bill is derived. Change the underlying event rate, guests, expenses or discount.
